Connect Zoom to ZapMeetz

Follow this guide to install the ZapMeetz Zoom integration, understand how it powers instant meetings, and learn what happens when you disconnect it.

Before you begin

Make sure your account meets these requirements before connecting Zoom:

  • You have permission to install Zoom Marketplace apps (owner or admin access).
  • You can sign in to the ZapMeetz dashboard for your company.
  • Pop-up blockers are disabled for app.zapmeetz.com so the Zoom approval window can open.
  • Your network allows outbound traffic to zoom.us for OAuth and webhook verification.

Adding the app

Use the steps below to connect Zoom. If anything fails, jump to Troubleshooting for help.

  1. Sign in to ZapMeetz and navigate to Dashboard → Integrations at app.zapmeetz.com/dashboard/integrations.
  2. Find the Zoom card and toggle it On. A secure Zoom consent window opens in a new tab.
  3. Review the requested permissions and select Allow. ZapMeetz only requests the scopes it needs to schedule meetings for you.
  4. Wait a few seconds while ZapMeetz verifies the connection. The page refreshes with a “Connected to Zoom” badge and shows the Zoom email on file.

Using the integration

Instant meetings for new visitors

Prerequisites: Zoom is connected, your widget is embedded on your site, and at least one teammate is available to claim live meetings.

  • Visitors request a live meeting through the ZapMeetz widget.
  • Your team sees a desktop/mobile alert to claim the request.
  • When a teammate clicks Join Live, ZapMeetz creates a Zoom meeting in your account.
  • The visitor receives the Zoom join link instantly, and the teammate gets the host link.

Routing & fallback scheduling

Prerequisites: Zoom is connected and widget routing rules or fallback scheduling are turned on in ZapMeetz.

  • Missed requests (no claim within 50 seconds) can redirect visitors to your fallback scheduling link such as Calendly.
  • Teammates can reopen a missed request in the dashboard later and trigger a new Zoom meeting with the stored connection.

Security & data handling

ZapMeetz encrypts the Zoom tokens it stores and refreshes them automatically when required. If the integration is disconnected, tokens are revoked and replaced with a sentinel value so they can’t be used again.

Removing the app

You can disconnect ZapMeetz from within the dashboard or directly inside the Zoom App Marketplace. Either path stops ZapMeetz from creating future Zoom meetings.

Option A — Disconnect inside ZapMeetz

  1. Go to Dashboard → Integrations and toggle the Zoom card Off.
  2. Confirm the prompt. The Zoom card reverts to the “Off” state, and new meetings stop instantly.

Option B — Remove the app in Zoom

  1. Sign in to zoom.us with the account that installed ZapMeetz.
  2. Open Marketplace → Manage → Added Apps.
  3. Choose ZapMeetz Instant Meetings and select Remove.
What happens after removal?
  • ZapMeetz revokes its Zoom tokens and sends Zoom a confirmation that the integration was disconnected.
  • Historical meeting records stay in ZapMeetz for reporting, but Zoom email/token data is wiped or replaced with “Deleted.”
  • Need a full deletion? Email privacy@zapmeetz.com and we will remove Zoom-linked data.

Troubleshooting & support

  • The consent window never opens: Allow pop-ups for app.zapmeetz.com and click the connect button again.
  • Zoom blocks the install: Ask your Zoom admin to approve the ZapMeetz app in the Marketplace settings.
  • Meetings stop creating: Return to the integrations page, click Reconnect Zoom, or remove the app in Zoom and add it again.
